Terms of Service

These terms explain how BeeThere may be used, what you remain responsible for as a clinician, and how the BeeThere EHR Sync extension fits into your workflow.

1. Agreement to these terms

These Terms of Service govern your access to and use of the BeeThere web application, related websites, and the BeeThere EHR Sync Chrome extension (together, the "Services"). By creating an account, accessing the Services, or using the extension, you agree to these terms.

If you use the Services on behalf of a practice, clinic, company, or other organization, you represent that you have authority to bind that organization to these terms.

2. Intended users

BeeThere is intended for mental health professionals and clinical practice staff using the Services for professional workflow support. You are responsible for ensuring that your use of the Services is permitted by your licensing rules, professional obligations, workplace policies, and applicable law.

The Services are not intended for clients or patients, emergency use, crisis response, or direct diagnosis or treatment by consumers.

3. Accounts and security

You are responsible for keeping your login credentials secure and for all activity under your account. Do not share your credentials with another person.

You agree to provide accurate account information and to notify us promptly if you believe your account or any client information has been accessed without authorization.

4. Professional responsibility

BeeThere helps with documentation, organization, drafting, and workflow tasks. It does not replace your clinical judgment, professional responsibility, supervision, documentation obligations, or legal recordkeeping duties.

You are responsible for reviewing all generated or transferred content before using it, saving it, sending it, placing it in an EHR, or relying on it in clinical work.

5. Client information and records

You control the client information, session notes, templates, transcripts, and related content you enter into the Services. You represent that you have the rights, permissions, and professional basis needed to enter and process that information through BeeThere.

You remain responsible for your official client records, including what belongs in your EHR, how long records must be retained, and how records must be amended, exported, or deleted under applicable professional and legal requirements.

6. BeeThere EHR Sync Chrome extension

The extension is designed to transfer session notes you saved in BeeThere into note fields on supported EHR pages, only after you choose the note and explicitly start the transfer.

The extension may detect editable fields on the active EHR page so it can place content into the appropriate sections. It does not submit or save the final EHR record for you. You must review all inserted content inside your EHR before saving.

If you add a custom EHR, you are responsible for confirming that you are allowed to use browser extension access with that EHR and that the field mapping is correct.

7. Acceptable use

You agree not to misuse the Services, interfere with their operation, attempt to access another user account, reverse engineer non-public portions of the Services, upload malicious code, or use the Services in a way that violates law or professional obligations.

You may not use the Services to build a competing product, scrape or bulk extract data, overload our systems, or bypass security or access controls.

8. Third-party services

The Services may rely on third-party infrastructure, authentication, database, hosting, AI, transcription, browser, and EHR providers. Your use of those services may also be subject to their own terms and privacy policies.

BeeThere is not responsible for the acts, omissions, availability, or security practices of third-party services that we do not control, including your EHR system.

9. Availability and changes

We work to keep the Services reliable, but we do not guarantee uninterrupted availability. The Services may be unavailable during maintenance, updates, outages, or events outside our control.

We may modify, suspend, or discontinue parts of the Services as the product evolves. If a change materially affects your use of the Services, we will try to provide reasonable notice.

10. Suspension and termination

You may stop using the Services at any time. We may suspend or terminate access if you violate these terms, create security risk, fail to pay applicable fees, or use the Services in a way that could harm BeeThere, other users, clients, or third parties.

Termination does not affect obligations that by their nature should continue, including confidentiality, payment obligations, ownership, disclaimers, and limitations of liability.

11. Disclaimers

The Services are provided on an "as is" and "as available" basis. To the fullest extent permitted by law, BeeThere disclaims warranties of merchantability, fitness for a particular purpose, non-infringement, and uninterrupted or error-free operation.

BeeThere does not provide legal, medical, billing, coding, compliance, or clinical supervision advice. You should consult qualified professionals for those matters.

12. Limitation of liability

To the fullest extent permitted by law, BeeThere will not be liable for indirect, incidental, consequential, special, exemplary, or punitive damages, or for loss of profits, revenue, data, goodwill, or business opportunity.

Some jurisdictions do not allow certain limitations, so parts of this section may not apply to you. In that case, our liability is limited to the greatest extent permitted by law.

13. Changes to these terms

We may update these terms from time to time. If we make material changes, we will notify you through the Services or by email before the changes take effect. The "Last updated" date above reflects the current version.

Your continued use of the Services after updated terms take effect means you accept the updated terms.
